Defining Setups for Procure to Pay Cycle

1.) Define Financial Options: It is used to determine GL Accounts setups for suppliers, supplier purchasing option, Hierarchies, Hierarchy types.


In order to define it, switch to Purchasing Responsibility & Navigate to Setup > Organization > Financial Options à Click on New






Now run “Replicate Seed Data” Concurrent Program from Sys Admin Responsibility for all Operating Units individually. It will generate document categories.




Once the concurrent program completes Navigate to Purchasing Responsibility > Setup > Organization > Receiving Options à we have already defined it while defining Inventory Organization. Check if still any mandatory field is missing, If not then we are good to go ahead.

Navigate to Setup > Organizations > Purchasing Options

Give Expense AP Accrual Account


Give document numbering as shown below


Define Position Hierarchy

Switch to HRMS Responsibility & navigate to Work Structure > Job > Description à Click on New

Give details as shown below



& save the record

Next is to define positions. Navigate to Work Structure > Position > Description à Click on New





Save the record & similarly create other positions



Define Hierarchies

Navigate to Work Structure > Position > Hierarchy

Give details as shown below


Save the form & click on Down Arrow & give details as shown below



Note that in a position Hierarchy, Top position can never be changed, if you want to change the top position then you have to create a new hierarchy all together.

Define Employees

Next is to define employees & assign HR organizations, job & positions to them

Navigate to People > Enter and Maintain à Click on New

Give details as shown below



Click on Assignment

Give details as shown below


& save the record

Similarly create other records









Now navigate to Purchasing responsibility & run “Fill Employee Hierarchy Report



Once completed, the position Hierarchy is ready to be used
